Useful for preparing a project in Accra, Ghana or for remote collaboration. This is a planning guide, not a substitute for an agreed production brief or quote.
Describe the audience and venue
Share the location, estimated attendance, indoor or outdoor conditions, seating plan and the event date. Note the event program and whether spoken word, a live band, playback music or video presentation is central. Each of these changes the technical design.
Map the stage and audio input list
For live music, list vocals, instruments, microphones, DI boxes, playback devices and monitor needs. A basic stage plot shows where performers and inputs will be placed. Also identify wireless microphone requirements, podiums, presenters and any interpreting or hybrid-meeting audio.
Plan lighting around the show
Different scenes may need different lighting: speeches, worship, dance, audience participation or cameras. Ask about power, control position, ambient light, setup access and sightlines. Avoid specifying fixtures solely from social-media references; venue and safety constraints matter.
Think through LED screens and visual playback
Define whether the screen shows presentations, lyrics, sponsorship content, cameras or pre-produced video. Agree on content resolution and aspect ratio with the display supplier. A separate operator and tested playback workflow can be important when many cues are scheduled.
Confirm streaming and recording separately
A stream, an event recording and a social-media highlight are different outputs. Clarify camera positions, internet availability, sound feeds, recording backup, who has permission to publish performers and whether audience notices are needed.
Build a realistic run of show and contingency plan
Share a schedule that includes load-in, soundcheck, line checks, rehearsal, show start, breaks, stage changes and strike. Identify a decision maker and one communication channel. Prepare for realistic risks such as power interruption, rain, missing playback files and delayed program changes.
