Useful for preparing a project in Accra, Ghana or for remote collaboration. This is a planning guide, not a substitute for an agreed production brief or quote.
Describe one primary business outcome
Start with a plain-language sentence: customers should be able to request a quote; staff should track event leads; visitors should book a consultation; or a team should find its records without searching multiple spreadsheets. Rank secondary goals rather than trying to build everything at once.
Map the people and their tasks
List who uses the product: customers, administrators, producers, finance staff or partners. Write down the steps each person takes, what information they enter, and what confirmation they need. Screens and features should follow these workflows rather than the other way around.
Prepare your content and brand assets
For websites, gather your official business name, services, contact details, images you own or may license, brand identity, required policies and product descriptions. If client testimonials are included, obtain permission and verify their wording. If there is no studio walk-in address, describe your service area honestly.
List integrations and ownership
Think about forms, email notifications, payment processors, booking tools, CRM, analytics and staff logins. Identify who owns the domain, hosting, software subscriptions, source files and API accounts. Avoid putting passwords or tokens in emails or project documents.
Treat AI as an assisted workflow, not a magic answer
For AI automation, define what data the system may access, which results need human approval, how errors will be logged and what happens when the AI is uncertain. Start with a narrow pilot: one input, one useful action, clear checks and a manual fallback.
Define what “launched” means
A proper launch includes mobile testing, accessibility, working forms, privacy notices, search-friendly page titles, domain and HTTPS checks, backups, analytics preferences and a handover plan. Decide who will maintain content and monitor the system after delivery.
Before you send your brief
- One priority problem and target user are documented.
- Required pages, workflows and integrations are listed.
- Content, photos and brand assets are owned or licensed.
- Privacy, security and human approvals are considered.
- A testable first milestone and launch criteria are agreed.
